Unified inbox for cold email
A unified inbox for cold email brings conversations from several sending mailboxes into one workspace. Followkite Unibox lets you review and answer connected Gmail and domain-mailbox threads without repeatedly switching accounts, while keeping the reply tied to the inbox that received it.

How do you manage replies from multiple inboxes?
Work one conversation queue rather than a separate browser tab for every sender. Open Unibox in the correct workspace, identify the receiving mailbox, read the full thread, and send the response from that mailbox. This keeps the prospect talking to the address they originally contacted.
A combined list is useful only if the next action is clear. An interested reply needs an answer, a meeting request needs a specific time or booking link, an objection needs a relevant response, and a request to stop needs suppression. Archive is an organizational action; it is not a substitute for honoring an opt-out.
Which mailboxes can feed Unibox?
Connect Gmail or Google Workspace through Google authorization. Mail reading requires the Gmail read permission; an account with send-only access needs reconnection with the appropriate permission. For Zoho, Namecheap Private Email and other domain hosts, configure IMAP as well as SMTP. Successful outgoing authentication alone does not prove that replies can be collected.
Mailbox synchronization can be delayed by provider limits, temporary connection errors or expired credentials. Check inbox health when a conversation appears in webmail but not in Followkite. Reauthorize Google or update the domain-mailbox password rather than assuming the prospect has not answered.
How do you keep campaign replies separate from personal mail?
Use the inbox?s sync-all-mail setting deliberately. When it is on, incoming mail beyond campaign replies may be copied into the workspace?s Unibox. When it is off, Followkite focuses on campaign-related mail. Turning it off also removes stored non-campaign copies for that mailbox.
Followkite stores sender details, subject and a short preview for the conversation list. Full message content is fetched from the mailbox when opened. Choose workspace roles and mailbox ownership before granting a client or teammate access; a shared operational inbox should not quietly expose a personal account.
How should you triage a shared reply queue?
- Check new human replies first. Review the actual message before labeling intent. Automatic detection is a starting point, not a promise that every interested lead is classified correctly.
- Use a clear outcome. Mark an interested conversation, a meeting booked, a later discussion, a wrong contact or a negative response according to what the person said.
- Coordinate ownership. Agree which teammate answers each inbox or campaign. Do not assume the product provides collision detection or a full support-ticket assignment workflow.
- Confirm the sender before replying. A reply should come from the account that received the conversation, especially when an agency manages several brands.
- Review stopped sequences. A matched human reply stops its enrollment after synchronization. Verify that outcome when investigating an unexpected follow-up.
What can Unibox replace, and what should stay elsewhere?
Unibox replaces the repeated account switching needed to handle outreach conversations. It is not a complete CRM, an applicant tracking system, or a customer-support help desk. Keep deal stages, hiring decisions and sensitive internal notes in the appropriate system of record.
For an agency, create a separate workspace for each client and switch workspaces before processing replies. The client?s inboxes, contacts and suppression list stay with that workspace. For a small team, one workspace can contain several senders, but each sender should have a named human responsible for responses. This operating rule is more valuable than a larger queue nobody checks.
What does Followkite cost?
Plans are billed per workspace. Mailbox hosting and domain registration are separate purchases. Choose a plan by total campaign sends, including follow-ups, rather than the size of your prospect list alone.

Frequently asked questions
Can I manage replies from multiple inboxes in one view?
Yes. Unibox collects conversations from the connected inboxes in your active workspace. Separate client workspaces remain separate; there is no cross-client master dashboard.
Does reading in Unibox mark the original email as read?
Followkite reads mailbox content without marking it read, moving it or deleting it in the provider mailbox. Read and archive controls organize the Followkite view.
Can clients see personal mail in a connected account?
Workspace access matters. Each inbox has a sync-all-mail setting; switch it off to restrict stored mail to campaign-related messages. Use dedicated business mailboxes for team outreach.
