Subject line email examples for cold outreach

A good cold email subject line tells the reader what the email is about in a few plain words, ideally naming their company, role or a specific topic. It should be accurate, short enough to read on a phone and free of tricks such as a fake Re:. Below are subject line examples by situation, and a simple way to write your own.

What should you write on the subject line for email?

Write the topic of the email, as specifically as you can, in the words the reader would use. A useful pattern is topic + their context: "Supplier onboarding at Northwind" or "Question about your hiring page". The reader should be able to guess the email before opening it, and the email should then match that guess.

Three questions help you choose:

  1. What is this email about? Name the subject matter: onboarding, a quote, a partnership, an event.
  2. Why this person? Add their company, team or a public business detail that explains the relevance.
  3. Is it true? No implied relationship, invented deadline or promise the body does not keep.

Notice what they have in common: lower-case after the first word, no hype and a topic you can check against the body. A mutual-connection subject is only acceptable when that person really did suggest you write.

What is the ideal email subject line length on mobile?

There is no fixed character limit. How much of a subject line a phone shows depends on the mail app, screen width, font size and whether the preview text is shown. Narrow screens truncate long subjects with an ellipsis, so the end of a long line is often never seen.

A practical rule is to put the meaningful words in the first 30 to 40 characters and keep most cold email subjects to roughly 3 to 7 words. "Question about your supplier form" is 33 characters and survives truncation; "Hi Morgan, I wanted to reach out about a quick question regarding your supplier form" does not. Check by sending a test to your own phone before launching.

What makes a good cold email subject line?

  • Specific. Names a real topic, not "Quick question" on its own.
  • Relevant. Mentions their company, team or situation.
  • Accurate. Matches the body. The FTC's CAN-SPAM guidance says commercial email subject lines must not be deceptive.
  • Plain. Sentence case, no emojis or symbols in a first email.
  • Short. Readable on a phone without opening the email.

The deadline example is only acceptable when the date is real. Followkite cannot make a misleading subject compliant; it is up to the sender to keep it honest.

How do subject lines work in Followkite?

Each sequence step has its own subject. Placeholders work in subjects as well as bodies, with a fallback after the vertical bar: Quick question about {{company|your team}}. If a contact has no value and the placeholder has no fallback, Followkite holds that contact back as missing data rather than sending a subject with a gap.

Leave a follow-up's subject empty and it goes out as a genuine reply to your first email, with "Re:" and the original subject, in the same thread. To compare wording, add B and C variants to a step, each with its own subject and body, then compare replies in campaign reports. Write the first subject well and the follow-ups inherit it; see how to start a follow up email for what goes inside.

Frequently asked questions

Should a cold email subject line include the recipient's name?

It can, but the company or a specific topic is usually more useful than a first name, which many promotional emails also use. Whatever you add, make sure the data is correct, or use a fallback when it is missing.

Do follow-up emails need a new subject line?

Usually not. Replying in the same thread keeps the earlier message visible as context. In Followkite, leaving a follow-up's subject empty sends it as a reply to your first email.

Should I use capital letters in a subject line?

Sentence case reads like an email from a person. All capitals, title case on every word and several exclamation marks look like advertising and are easy to ignore.
